Overview

The Operations Coordinator plays a vital role in ensuring the smooth and efficient functioning of an organization’s daily operations. This position serves as a bridge between various departments, facilitating communication and collaboration to optimize processes and enhance productivity. The Operations Coordinator is responsible for supporting operational activities, managing documentation and reporting, and assisting with project management.

Name

The contract work shall be conducted under the name of Dazmii and shall maintain supporting services for office tools, software, marketing, travel, insurance, and health coverage necessary for performing services.

Day-to-Day Operations

The Operations Coordinator shall provide their full-time (160hrs a month) services and best efforts on behalf of the contract. The Operations Coordinator shall receive a hourly pay for services rendered to the contract. Dazmii shall have primary rights to manage and control the contract and its business.

Efficiently manage and allocate resources to ensure optimal utilization and prevent over-allocation within the defined scope. Dedicate the majority of time to managing contracts, focusing on resource allocation, scheduling, planning, and reporting.

The Operations Coordinator reports directly to the Chief Operations Office (COO).

Key Responsibilities

The Operations Coordinator is responsible for monitoring operational performance, maintaining accurate records, and addressing customer inquiries. Key responsibilities include:

Resource Management

Resource management is a critical aspect of ensuring the timely delivery of all deliverables defined in Contracts. The Operations Coordinator will actively engage in optimizing these processes to not only meet deadlines but to accelerate delivery timelines wherever feasible.

  1. Assess Resource Availability
    • Continuously evaluate the availability and skill sets of internal resources to ensure that the right personnel are assigned to the right tasks. This includes cross-training team members to increase flexibility and responsiveness.
  2. Implement Agile Methodologies
    • Utilize agile project management techniques to promote adaptive planning and iterative progress. This approach allows for rapid adjustments to project scopes and timelines, enabling quicker delivery of results.
  3. Monitor Performance Metrics
    • Regularly analyze performance metrics related to delivery timelines and resource utilization. This data-driven approach will help identify areas for improvement and inform strategies to expedite future deliverables.
  4. Foster a Culture of Accountability
    • Encourage team members and vendors to take ownership of their roles and responsibilities, fostering a sense of urgency and commitment to meeting deadlines. Recognizing and rewarding timely contributions can further motivate all parties involved.
  5. Delegating tasks within the ticketing system
    • Encourage business practices of communication and task management to take place in the Dazmii Portal and not in spreadsheets or email.
    • Overseeing project timelines and management of all billable resources
    • Set clear priorities on key deliverables that have the highest impact on project success without sacrificing quality.
    • Tickets must align with the scope of deliverables outlined in the contract. While tickets may be more granular and descriptive than a single deliverable, they must, at a minimum, define a deliverable.
    • All deliverables will be defined by the Solution Administrator which is defined by the Contract.

By focusing on these strategies, the Operations Coordinator aims to not only ensure that deliverables are completed on time but to expedite their delivery, avoiding unnecessary delays and enhancing overall operational efficiency.

Compensation

Compensation will be in the form of hourly pay and is subject to increase based on Resource Manager’s discretion, however, never lower than the amount specified in this contract. Dazmii performs work in the form of Roles. Roles are defined in Appendix A and work is delegated and compensated defined herein.

Pay Rates vary based on role and experience, however, this position is salary.

To clarify the application of pay rates, each contract may include opportunities for pay increases. Any decision to raise pay for a specific ticket, resource assignment, or contract rests solely with the Resource Manager's discretion. It is important to note that an increase granted for a particular ticket, resource assignment, or contract does not establish a new default pay rate for that role or employee.

Employees may also be eligible for a merit-based pay raise, which can set a new default pay rate. However, it is essential that this new pay increase is clearly communicated to the employee as an official change in their pay rate.

This position is subject to receive a bonus, however, based business performance and is not guaranteed.

Medical Benefits

1099 Contractor is not eligible for medical benefits. W2 employees are eligible for medical benefits.

Personal Time Off

Personal Time Off is not paid and is not to be confused with Paid Time Off. Employee agrees to be available full-time billable employment with no more than 30 business days a year of unavailability.

Term/Termination

The terms of this Agreement shall be for a period of 1 year, unless the contractor request in writing to a shorter period. Should the partnership be terminated by unanimous vote or primary business owner, the assets and cash of the partnership shall be used to pay all creditors, with the remaining amounts to be distributed to the partners according to their proportionate share.

Code of Conduct

Code of Conduct is applicable outside business relations and each contractor agrees to maintain a code of conduct that is in the best interest of Dazmii. Behavior that negatively impacts or impedes Dazmii’s credibility will sever this agreement leaving partnership nullified.

Disputes

This Contractor Agreement shall be governed by the laws of the State of Arizona. Any disputes arising between the partners as a result of this Agreement shall be settle by arbitration in accordance with the rules of the American Arbitration Association and judgement upon the award rendered may be entered in any court having jurisdiction thereof.
